Form assignments (Contributor, Observer, Investigator)
What is the Multi-User Assignment Feature?
This feature allows additional users to be assigned to form submissions with specific roles: Contributors, Observers, or Investigators.
Contributor Role
Grants the user permission to view and edit the form, essentially acting as an additional submitter.
- Who Can Assign: Contributors can be assigned by any user while the form is in DRAFT status. Once submitted, only Form Owners or Investigators can add additional Contributors.
- Example: A user creates a Safety Report and assigns another user as a Contributor who witnessed the event and can provide more details.
Observer Role
Provides read-only access to the form without editing or commenting privileges.
- Who Can Assign: Only Form Owners or Investigators can assign Observers, and only after the form has been submitted.
- Example: A Safety Committee group could be added as Observers on a Safety Report for awareness without needing edit or comment access.
Investigator Role
Allows users to view, comment, and access certain secure sections of the form.
- Who Can Assign: Investigators can be assigned by Form Owners or other Investigators, but only after form submission.
- Example: A Form Owner may assign additional team members as Investigators to assist with examining a Safety Report incident.
Note: Once a user is assigned any of these roles, the system automatically sends them an email with details about their assignment.
