Emergency Response Configuration

Emergency Response Configuration

What is it?

This section allows you to configure Emergency Response communications and incorporate any supplementary information necessary during an emergency event.

Who can edit the Configuration?

Anyone who is in the Emergency Response Manager role will have access to the Configuration page.

Where is it located?

  • Under Admin in the main menu, there will be an option for ERP Management.

  • After clicking the link above, you will be brought to the main index page, where you will see an option to Edit Configuration.

What can be configured in this area?

  • Activation Email:
    • This is the email that will be sent to all members of the Emergency Operations Team upon activation of a Drill or Actual Event.
    • The system will already have default text, but you may configure it to fit your operation's needs.
    • (All Drill communications will be prefaced with "Drill".)

Preview of Email Notification for a DRILL:

(Please note: Email providers render emails differently. Emails you or your users receive may not look exactly as the preview below.)

  • Activation Text Message:
    • This text message will be sent to all members of the Emergency Operations Team, provided they have their phone numbers listed in their User Profile.
    • Note: There is a 124 character limit for the body of the text message.

        • Organization Bulletin
          • If you do not want a Bulletin to be sent for an active emergency, leave the body of the Bulletin blank and it will not send.

          • Note: These Bulletins will not send for Drills.

            • Emergency Operations Team:
              • This is where you can add and remove users as members of the EOT.
              • There is an optional text field where Emergency Response Managers can designate specific EOT roles.

              • Default Form Assignment:
                • This area allows you to assign ERP checklists to specific members of your EOT.
                • Users will see a tag that designates which checklists they have been assigned to in the Emergency Operations Center.

                • Other Emergency Contacts:
                  • Any other key contacts can be added here for quick reference.

                • Emergency Response Documents:
                  • Any relevant documents that need to be accessed directly from the EOC can be uploaded here.

                • Emergency Response Manuals:
                  • If your manuals are maintained by Baldwin, you can select which of those manuals will appear as PDF links in the EOC.

                • Drill Schedule:

                  • Emergency Response Managers have the option to be reminded to conduct a drill by updating the Drill Schedule.
                  • The default drill schedule is set for 12 months.
                  • All Emergency Response Managers can manage the Drill Schedule.
                  • All Emergency Response Managers will get a To-Do item reminder 30 days before the drill is due.
